Why foreign buyers don't reply after your quotation

Short answerBuyers go quiet for two kinds of reasons. Some you can't control: they were only collecting prices, their customer changed the order, or another supplier was cheaper. Others you can fix: when they checked your company they found an unclaimed Google listing or a website without specs, your quotation left out what they needed to compare, or your reply came too late. Fix the second kind first.

Which reasons can't you control?

Be honest about these, because no fix will change them. Some buyers send the same enquiry to many suppliers only to understand the market price. Some lose the order from their own customer. Some find a supplier with a lower price or a shorter route. When a buyer goes quiet for these reasons, the best you can do is leave a clean, complete impression, so that you are on their list next time.

Did they find a credible company when they checked you?

Before replying, many buyers search the company that quoted them. If they find an unclaimed Google listing with an old phone number, a directory page instead of your own website, or a site with product names but no specs, they have a reason to doubt you before they have looked at your price. This is the easiest gap to close, and it is the one we work on. See what foreign buyers check before they reply.

Did your quotation answer what they need to compare?

A price on its own is hard to act on. A buyer comparing suppliers needs the grade, the specs you test for, packing, MOQ, the Incoterm (for example FOB or CIF) and how long the price is valid. If any of these is missing, they have to write and ask, and the supplier who sent everything first has an advantage.

Put in the quotationOr they have to ask
Product, grade and key specs"Can you send the specification?"
Packing and MOQ"What is the packing? Minimum quantity?"
Incoterm and port"Is this FOB or CIF? Which port?"
Price validity"How long is this price valid?"
A spec sheet PDF"Please send a spec sheet for our QC team."

Did your reply arrive in time?

Buyers often compare several replies on the same day. A complete first answer the same working day keeps you in that comparison. A reply two or three days later may arrive after they have shortlisted others.

Was it easy to reach you?

If the only way to ask a quick question is a contact form or an email that takes days, some buyers won't bother. A WhatsApp number on your website and listing, answered during working hours, removes that friction.

What should you fix first?

  1. Claim and complete your Google listing in your real company name [1].
  2. Publish grade, packing and MOQ for each product on your own website.
  3. Keep a spec sheet PDF for each main product, ready to attach.
  4. Use a reply template so every enquiry gets a complete first answer within a working day.

Questions exporters ask

How soon should I follow up after a quotation?

Ask in your first reply when they expect to decide, then follow up on that date. If they gave no date, a short, specific follow-up a few working days later is reasonable, for example confirming the price validity or offering a revised spec.

Should I lower the price when a buyer goes quiet?

Not as a first move. If they never replied, you don't know that price was the reason. Check first that your quotation answered their questions and that your company looked credible when they checked you.

Can you guarantee that buyers will reply?

No. Nobody can. We make sure that what a buyer finds and receives from you is complete and credible, so the reasons you can control are covered.
